Privacy Policy

This document explains what data the Voice Planner app collects, why it collects it, who it is entrusted to, and what rights you have. It is written in plain language on purpose — nothing important is hidden in legal phrasing. If anything is still unclear after reading it, write to the address at the bottom.

Who the data controller is

The controller of your personal data is Jakub Woźnicki, an individual running the Voice Planner project, reachable at jakubiusz8@gmail.com. All privacy questions, deletion requests, and complaints go to that address. Voice Planner is built by a single developer, so messages are answered personally.

What this policy covers

Voice Planner is a calendar with an AI-powered voice assistant. You can add events and tasks by hand or by speaking to your phone, and the app turns that into calendar entries. It runs on Android and iOS and uses Google services (Firebase) to store data and to understand spoken commands.

What data is collected and where it comes from

The first time you open the app, an anonymous technical account is created. You do not have to provide any information to start using the app. The anonymous account has a random identifier and exists only so that your entries are saved in the cloud and survive between launches. If you uninstall the app or clear its data, the anonymous account and the entries tied to it may be permanently lost, because there is nothing left to associate them with.

If you choose to create a full account, your e-mail address and password are collected (the password is stored in hashed form by Google's authentication system and is never visible to us in plain text). If you sign in with Google or Apple, we receive the basic account information those services share — normally an e-mail address and an identifier.

We collect the content you create in the app: events, tasks, lists, their titles, dates, times, notes, and reminders, along with settings such as theme, language, and time zone. This is the core of what the app does — without it, the calendar would have nothing to show.

When you use the voice feature, two steps happen. First, your voice is converted to text by the speech recognition built into your operating system (usually Google on Android, Apple on iOS). Your phone and your OS vendor process the audio; we never receive or store audio recordings. Second, only the recognised text of the command is sent to Google's Gemini AI model (via Firebase AI) so it can work out what you want and turn it into an entry. What reaches the model is therefore the text of the command plus the context needed to carry it out, for example today's date.

If you connect the app to your Google Calendar account, we gain access to your Google Calendar events and your Google Tasks, within the scope you approve during the connection. This is done for one purpose only: to synchronise your calendar in both directions — showing in the app what you have in Google, and writing to Google what you add in the app.

We also collect limited technical data needed for operation and security: usage counters for the voice feature (to enforce free-plan limits), which plan you are on, and basic diagnostic and anti-abuse data provided by Firebase. We do not build advertising profiles and we do not sell your data.

If you buy a subscription, the payment is handled by the Google Play store, and subscription status is managed by the RevenueCat service. We never receive or store your payment card numbers — those are handled by the payment operator.

Why the data is processed, and on what legal basis

Data is processed in order to give you a working app: to save and synchronise your calendar, carry out voice commands, send reminders, and maintain your account. The legal basis is performance of the service contract you enter into by accepting the Terms of Service (Art. 6(1)(b) GDPR).

Sending the text of a command to the AI, and connecting to Google Calendar, take place on the basis of your consent, which you give by using those features (Art. 6(1)(a) GDPR). You may withdraw consent at any time by ceasing to use the feature or by disconnecting Google Calendar; this does not affect the lawfulness of processing carried out before withdrawal.

Keeping the app secure, preventing abuse, enforcing free-plan limits, and handling complaints rest on our legitimate interest (Art. 6(1)(f) GDPR) in providing a stable, secure, and accountable service.

Who the data is entrusted to

To make the app work we rely on trusted providers who process data on our behalf. These are primarily Google Ireland Limited and Google LLC for Firebase services (authentication, the Firestore database, App Check, cloud functions) and the Gemini model; Google for Google Calendar and Google Tasks if you connect them; and RevenueCat for subscription status. The Google Play store acts as the seller of subscriptions. These providers process data in line with their own policies and under data processing agreements.

Transfers outside the European Economic Area

Some data may be processed on servers located outside the European Economic Area, including in the United States, because that is where some Google and RevenueCat services operate. Such transfers rely on GDPR-compliant mechanisms, in particular the Standard Contractual Clauses approved by the European Commission, which provide an adequate level of protection for your data.

How long data is kept

Your entries and account data are kept for as long as you use the app and keep your account. When you delete your account from within the app, the data associated with it — events, tasks, and settings — is removed from the database. Anonymous account data exists until the app is uninstalled or its data is cleared, after which it may be permanently lost. Some technical and billing data may be kept longer where the law requires it, for example for tax purposes, or where it is needed to defend against claims.

Your rights

You have the right to access your data, to rectify it, to erase it, to restrict processing, to data portability, and to object to processing based on legitimate interest. You also have the right to withdraw consent wherever processing is based on consent. Most of these you can exercise yourself inside the app — by editing or deleting entries, or deleting your whole account. You can also write to jakubiusz8@gmail.com about any of it. If you believe your data is being processed unlawfully, you have the right to lodge a complaint with the President of the Personal Data Protection Office (Prezes Urzędu Ochrony Danych Osobowych) in Poland, or with your local supervisory authority.

Deleting your account and data

You can delete your account and the data tied to it inside the app, in the account settings section, using the delete account option. You can also request deletion by writing to the contact address. Such requests are carried out without undue delay. Step-by-step instructions are on the data deletion page.

Use of Google Calendar and Google Tasks data

The app requests only the scopes it needs: permission to view and edit your calendar events, and to manage your tasks. It does not request access to Gmail, Drive, contacts, photos, or files. You can disconnect Google at any time from the app's profile screen, or revoke access on your Google Account permissions page.

Children

The app is not intended for children, and we do not knowingly collect data from people below the age legally required to consent to the processing of data in online services on their own. If you are a parent or guardian and believe a child has given us data, write to us and it will be deleted.

Security

Data is protected using the safeguards offered by the Google platform, including encrypted connections and database access rules that restrict access to your entries to your account alone. No method of transmitting or storing data is one hundred percent secure, so absolute protection cannot be guaranteed, but every reasonable measure is taken.

Changes to this policy

This policy may be updated, for example when new features are added or the law changes. Material changes will be announced in the app or through another available channel, and the effective date at the top of the document will always indicate the current version. Continued use of the app after a change means you have had the opportunity to read the new version.
